Whether you're an Administrator, a Board-Certified Behavior Analyst (BCBA), or a Registered Behavior Technician (RBT), keeping detailed and organized notes with minimal errors is crucial for organizational optimization. Therapeutic interventions, with the addition of proper documentation increases time consumption for a practitioner and can be cumbersome given the fast-paced client interactions within therapy sessions. A session note template that provides minimal guidance for pertinent data entry to satisfy the requirements of insurance companies increases the likelihood of time inefficiencies. This is where the implementation of UX/UI design in creating an effective session note template comes into play. Let's explore the numerous benefits that a well-designed session note template can offer.

Enhanced Usability
A key advantage of incorporating UX/UI design into a session note template is enhanced usability. By focusing on the experience of the service provider inputting an entry or the manager reviewing the entry, designers can create intuitive and easy-to-navigate templates. This means that therapists and managers can spend less time figuring out how to efficiently input a comprehensive session note (while potentially reinforcing applied behavior analysis terminology) and more time focusing on their clients. Features like checkboxes, dropdown menus and simple tables can significantly improve the user experience. When given administrative permissions, popular data collection platforms at the time of this writing (e.g. CentralReach or Rethink) offer customizable session notes that may be modified to meet the needs of the organization.
Improved Efficiency
Efficiency is another significant benefit of a well-designed session note template. UX/UI design principles prioritize streamlined workflows, reducing the number of steps required to complete a task as well as constraints associated with the tasks that are required for inputting data. For instance, pre-filled menus, checkboxes for common interventions, and dropdown menus can help professionals quickly complete their notes without compromising on detail. This time-saving aspect allows for more client interactions and less administrative burden.
Seen below is an example of a session note checkbox component designed to help RBTs directly or indirectly review behavioral concepts on their annual competency exams on a daily basis while documenting direct services. This design concurrently provides supervisors/managers with reference points for treatment integrity, an accessible resource for behavior skills training, and efficient documentation:

Better Organization
A session note template designed with UX/UI in mind can also enhance organization. By structuring the template in a logical and visually appealing way, users can easily find and prioritize necessary information. Sections can be clearly labeled, items can be programmed as required, and the use of visual hierarchy or prompts can guide the user through the process of note-taking. This not only makes the template more user-friendly but also ensures that all essential information is captured systematically.
Seen below are examples of carefully designed behavior reduction and skill acquisition target components to accommodate ABC data, behavioral functions, the context of teaching specified skill acquisition targets and progress in comparison to previous sessions:

Within these components contains rich text boxes when additional contextual narrative data is required. Check boxes were placed to prompt a user (or reviewer) of pertinent client progress across management, supervisors, or direct service providers.

Enhanced Accuracy
When a session note template is well-designed, it reduces the likelihood of errors and confusion. Clear labels, prompts, and a logical flow ensure that users don’t miss important fields or input incorrect information. This accuracy is critical in professions where precise documentation is necessary for effective client care, ethical practice, and legal compliance.
Customizability
Another benefit of UX/UI design is the ability to customize the session note template to meet specific needs. Different professionals and organizations may have varying requirements based on their context, for example, a BCBA would require more narrative based data due to the nature of supervision sessions while an RBT will require contextual information related to a client's behavior within a session, or from an organizational standpoint, should an ABA company service primarily private insurance companies, a session note redesign may be needed to cater to the information structure demanded from the client's service provider. A good UX/UI design will allow for this flexibility, making it possible to add or remove sections, change the layout, and adjust the template as needed. This adaptability ensures that the template remains relevant and useful over time.

Increased Satisfaction
Ultimately, the goal of UX/UI design is to create products that users love to use. When a session note template is designed with the user in mind, it leads to increased satisfaction. Professionals who find their tools easy to use and effective are likely to feel more positive about their work and less stressed by administrative tasks. This can lead to better job satisfaction (lower employee turnover as a result) and, in turn, better client care.
Investing time and resources in a well-designed session note template is a step towards more effective, efficient, and enjoyable professional practice.
Discussion: Share your experiences or observations regarding the use of well-designed vs. poorly-designed session note templates or similar documentation tools. What specific UX/UI features do you find most beneficial, and how do they impact your efficiency and satisfaction at work?
